Formal Letter Writing Conventions in Persian

In Brief
A formal Persian message normally moves through a predictable sequence: an addressee or greeting, a brief statement of purpose, the request or information, and a respectful closing. Useful formulas include با سلام و احترام “with greetings and respect,” احتراماً به استحضار میرسانم “I respectfully bring to your attention,” and با احترام “respectfully.” The best wording depends on whether you are writing personally, on behalf of an organization, or in a highly bureaucratic setting.
Overview
Formal Persian correspondence is not simply everyday Persian with more polite vocabulary. Letters, applications, and business emails use conventional formulas, indirect requests, formal written verb forms, and titles that identify the recipient respectfully. At B2, the central skill is learning to assemble these elements into a clear message without making it either too casual or needlessly ceremonial.
English business writing often starts immediately with “Dear…” and favors short, direct requests. Persian also values clarity, especially in modern email, but commonly marks respect more explicitly. A phrase such as با سلام و احترام establishes the relationship before the writer states the purpose. Requests may be softened with خواهشمند است “it is requested” or لطفاً “please,” rather than presented as bare commands.
The conventions cover a range of registers. A message to a university office can be polite and modern; an official letter between institutions may contain impersonal phrases such as به استحضار میرساند. Copying the most bureaucratic formula into every email can sound inflated, so learning where each expression belongs matters as much as learning its literal meaning.
How It Works
The basic structure
A useful formal message has five parts. Not every email needs a separate line for each part, but the order is stable.

In a business email, a subject line should be specific, for example موضوع: درخواست گواهی اشتغال “Subject: request for an employment certificate.” In a traditional official letter, identifying details such as date, number, and attachment may appear above the addressee. These layout details vary by organization; the language sequence remains broadly the same.
Addressing the recipient
Persian has several common honorific combinations:

محترم literally means “respected” and often follows the role or organization: ریاست محترم دانشگاه “the respected president’s office/president of the university.” Do not automatically combine every available title. جناب آقای دکتر مهندس... may occur in very title-conscious contexts, but one relevant title is normally clearer.
Persian does not have a direct all-purpose equivalent of English “Dear Sir or Madam.” If the person is unknown, address the office or role when possible: مسئول محترم واحد پذیرش “respected admissions officer.” This sounds more purposeful than guessing a gendered title.
Opening formulas
با سلام means literally “with greetings” and is a neutral professional opening. با سلام و احترام adds explicit respect and is one of the safest choices for formal emails. A comma can follow the greeting, usually the Persian comma ،.
احتراماً is an adverb meaning “respectfully.” It commonly introduces the purpose:
- احتراماً، به اطلاع میرسانم که... — “Respectfully, I inform you that…”
- احتراماً، در خصوص جلسهٔ روز دوشنبه... — “Respectfully, regarding Monday’s meeting…”
The fixed phrase به استحضار رساندن means “to bring to [someone’s] attention.” It is more deferential and more official than به اطلاع رساندن “to inform.” The verb ending must fit the writer:
- به استحضار میرسانم — “I bring to your attention” (an individual writer)
- به استحضار میرسانیم — “We bring to your attention” (a group or organization speaking as “we”)
- به استحضار میرساند — “[it/the undersigned/this office] brings to your attention” (impersonal institutional style)
The subject is the person or entity performing the action. Persian often leaves the subject pronoun unstated because the verb ending already identifies it. Therefore, میرسانم itself conveys “I bring/inform”; writing من is usually unnecessary in a formal opening.
Stating the purpose clearly
After the greeting, identify the matter promptly. Useful connectors include:
- در خصوصِ... — regarding…
- در موردِ... — concerning…
- پیروِ نامهٔ شمارهٔ... — following/in reference to letter number…
- با توجه بهِ... — considering/given…
- بدینوسیله... — hereby/by this means…
The short vowel linking two nouns, called ezafe (the linking sound roughly like -e), is normally not written. It connects forms such as درخواستِ ثبتشده “the registered request.” In careful typography, the ezafe after final ه may be shown as هٔ, as in نامهٔ شما “your letter,” though digital practices vary.
بدینوسیله is useful when the message itself performs an official act: بدینوسیله آمادگی خود را اعلام میکنم “I hereby declare my readiness.” It sounds overly legalistic in a routine question.
Making respectful requests
Persian formal requests often avoid an unsoftened imperative (a direct command form). Choose the degree of formality deliberately.

فرمودن is an honorific verb here: it elevates the recipient’s action. Thus ارسال فرمایید is more deferential than ارسال کنید, although both mean “send.” Avoid stacking several softeners in a simple email. لطفاً خواهشمند است دستور فرمایید... is not more polite; it is cluttered.
To set a deadline without sounding abrupt, write خواهشمند است تا تاریخ ۱۵ مهر ارسال فرمایید “Please send [it] by 15 Mehr” or در صورت امکان، لطفاً تا پایان هفته پاسخ دهید “If possible, please reply by the end of the week.” در صورت امکان softens the request only when the timing is genuinely flexible.
Referring to attachments and follow-up
Common attachment formulas are:
- فایل مورد نظر به پیوست ارسال میشود. — “The relevant file is attached.”
- رزومهٔ اینجانب به پیوست تقدیم میگردد. — “My résumé is respectfully submitted as an attachment.”
- لطفاً فایل پیوست را ملاحظه فرمایید. — “Please review the attached file.”
اینجانب is a formal self-reference meaning “I/the undersigned.” It belongs mainly to applications and official documents, not ordinary colleague-to-colleague email. تقدیم میگردد is likewise ceremonial; پیوست شده است or به پیوست ارسال میشود is plainer.
For follow-up, منتظر پاسخ شما هستم “I await your response” is grammatical and courteous, but can feel insistent if no response was promised. پیشاپیش از پاسخگویی شما سپاسگزارم “Thank you in advance for your response” is warmer. In a reminder, state the earlier contact neutrally: پیرو ایمیل مورخ ۱۰ خرداد، خواهشمند است....
Closing the message
The safest professional closing is با احترام “respectfully.” Other choices convey slightly different tones:

Place the sender’s full name under the closing. Add a role, organization, telephone number, or other details only when useful. A first message to an external recipient needs a fuller signature than an email within an established thread.

Common Mistakes
Mixing spoken and written forms
- Wrong: میخواستم بدونم مدرکم رسیده؟
- Right: میخواستم بدانم آیا مدرک من دریافت شده است.
- Why: Forms such as بدونم and the conversational question ending belong to spoken Persian. Formal writing normally uses بدانم, آیا, and the full verb شده است.
Using the wrong person ending
- Wrong: به استحضار میرساند که درخواست خود را ارسال کردهام.
- Right: به استحضار میرسانم که درخواست خود را ارسال کردهام.
- Why: The rest of the sentence identifies the writer as “I,” so the opening verb should also be first-person singular: میرسانم. میرساند belongs to impersonal institutional phrasing or an explicit third-person subject.
Turning politeness into a bare command
- Wrong: مدارک را تا فردا بفرست.
- Right: لطفاً مدارک را تا فردا ارسال کنید.
- Why: بفرست is an informal singular command, and فرستادن is less formal than ارسال کردن in this setting. The polite plural verb کنید addresses the recipient respectfully.
Overloading the message with ceremony
- Wrong: احتراماً خواهشمند است لطفاً دستور فرمایید پاسخ مقتضی را مبذول فرمایند.
- Right: خواهشمند است پاسخ خود را ارسال فرمایید.
- Why: Several deferential formulas piled together obscure the action. Formal Persian can be elaborate, but a professional email should still make the request easy to find.
Using a title that does not fit the recipient
- Wrong: جناب آقای خانم احمدی
- Right: سرکار خانم احمدی
- Why: جناب آقای addresses a man; سرکار خانم addresses a woman. When unsure who will read the message, use the office or role instead.
Closing with spoken shorthand
- Wrong: مرسی، فعلاً
- Right: با تشکر و احترام
- Why: مرسی and فعلاً are natural in friendly communication but usually too casual for a formal application or first business contact.
Usage Notes
Modern professional email is generally less ornate than a paper letter between government offices. با سلام و احترام followed by one clear sentence and با احترام is often enough. Phrases such as مراتب جهت استحضار ایفاد میگردد belong to strongly bureaucratic prose; recognizing them is useful, but reproducing them in every message can sound old-fashioned or evasive.
Respect is expressed through the whole message, not only through titles. Use the respectful plural verb when addressing one recipient: ارسال کنید, بفرمایید, ملاحظه فرمایید. The possessive شما “your” is also the normal respectful choice. Unlike English, Persian can omit “I” and “you” while still showing person through the verb ending.
Punctuation and spacing support a professional impression. Use the Persian comma ، in Persian text, and observe the half-space in forms such as میرسانم, پاسخگویی, and ثبتشده. Real-world typography varies, but consistent standard spelling is preferable in applications and external correspondence.
Dates can be ambiguous across calendar systems. In correspondence involving readers outside Iran, specify the calendar or write the month name rather than relying only on numerals. Likewise, put the requested action and deadline in the body rather than leaving them hidden in the subject line.
Beyond the Basics: Institutional Voice and Diplomatic Tone
Official Persian often shifts from a personal voice to an institutional one. Instead of من درخواست میکنم “I request,” a letter may use خواهشمند است “it is requested.” Instead of فایل را فرستادم “I sent the file,” it may use فایل ارسال گردید “the file was sent.” This is a passive construction—a structure that foregrounds the action or result rather than the person doing it. It creates distance and can sound authoritative, but excessive passive wording makes responsibility unclear.
A useful advanced distinction is between اطلاع and استحضار. Both concern receiving information, but استحضار conventionally presents the recipient as higher in status or deserving special deference. Use به اطلاع میرسانم for neutral formal information and reserve به استحضار میرسانم for more deferential or institutional contexts.
Writers also manage disagreement indirectly. Rather than شما اشتباه کردهاید “you have made a mistake,” a diplomatic letter might say به نظر میرسد مغایرتی در اطلاعات ثبتشده وجود دارد “There appears to be a discrepancy in the recorded information.” This does not change the facts; it avoids assigning blame before the issue is resolved. Good formal style combines such tact with a concrete next step: identify the discrepancy, attach evidence, and state what correction is requested.
Finally, formulas are not interchangeable decorations. بدینوسیله اعلام میکنم suits a declaration; پیرو نامهٔ... requires an earlier letter; پیشاپیش سپاسگزارم anticipates help. Choosing a formula because its communicative function fits is more natural than selecting the longest phrase available.
Practice Tips
- Build three reusable templates: a first inquiry, a request with an attachment, and a polite follow-up. For each template, keep both a modern email version with لطفاً and a more official version with خواهشمند است.
- When reviewing a draft, underline the greeting, purpose, requested action, deadline, and closing. If any part is missing—or if the action is buried under formulas—revise for clarity.
- Practice changing the writer’s voice: rewrite به استحضار میرسانم as به استحضار میرسانیم, then as institutional به استحضار میرساند. Check that every later verb remains consistent with the chosen voice.
