In Brief

Formal Portuguese is not simply everyday Portuguese with longer words. It uses precise connectors such as mediante, não obstante and em virtude de, conventional openings and closings, and an impersonal, carefully qualified tone. The best formal writing is clear and courteous; excessive bureaucracy can make a message less effective rather than more formal.

Overview

At C1, choosing the right register—the variety of language suited to a particular situation—matters as much as forming a grammatically correct sentence. A note to a friend, an email to a client, a university paper and a contract can express the same basic idea in very different ways. Formal Portuguese appears in professional correspondence, applications, reports, academic prose, public notices and legal documents.

For an English-speaking learner, many formal Portuguese expressions have recognisable English counterparts: em conformidade com resembles “in accordance with,” while não obstante resembles “notwithstanding.” That resemblance is useful, but literal translation is not always safe. English “hereby,” for example, has no single equivalent that fits every sentence. Portuguese may use por este meio, a present-tense performative verb such as declaro, or no explicit equivalent at all.

This article focuses on broadly useful formal language, especially patterns common in European Portuguese, as suggested by registo and com os melhores cumprimentos. Many constructions are also used in Brazil, but correspondence formulas, forms of address and preferred vocabulary vary by country and institution.

How It Works

Choose a precise connector

Formal connectors make the logical relationship between clauses explicit. A connector is a word or phrase that shows relationships such as cause, contrast, means or scope.

These expressions normally introduce a noun phrase—a group built around a noun—rather than a complete clause: em virtude do atraso, not usually em virtude de o fornecedor atrasou. If a full clause is needed, use a suitable conjunction: uma vez que o fornecedor se atrasou (“since the supplier was late”). Portuguese can place an infinitive after some prepositional expressions, but it must have the appropriate form: em virtude de ter ocorrido um atraso (“because a delay occurred”).

Contractions remain obligatory in formal prose. A preposition combines with an article: de + o = do, de + a = da, em + o = no. Thus, write em virtude da decisão, no âmbito do programa and em conformidade com os requisitos.

Use conventional correspondence formulas

Formal messages often follow a recognisable sequence. The formulas are conventions, not word-for-word templates that must all appear in every email.

Venho por este meio literally presents the act of writing as the means by which the request or declaration is made. It is appropriate in formal letters and official emails, but it can sound heavy in routine workplace communication. Often Solicito o envio de… or Escrevo para solicitar… is clearer.

Soften requests without making them vague

Direct imperatives can sound abrupt in professional writing. Portuguese commonly uses the imperfect indicative or conditional to soften a request:

  • Agradecia que confirmasse a receção. — “I would appreciate it if you confirmed receipt.”
  • Gostaria de solicitar uma reunião. — “I would like to request a meeting.”
  • Poderia enviar-nos a versão final? — “Could you send us the final version?”

After agradecia que, Portuguese uses the imperfect subjunctive, a verb form used here for a desired action: enviasse, confirmasse, indicasse. A frequent English-based error is to follow it with an infinitive or an ordinary past form.

Prefer controlled impersonality

Reports and official notices often foreground the action or result rather than the person responsible. Common options include:

  • the passive: O pedido será analisado no prazo de dez dias.
  • an impersonal se construction: Informa-se que o serviço estará encerrado.
  • a neutral noun phrase: A análise dos dados revelou uma diferença significativa.

A passive sentence presents the receiver of an action as the grammatical subject—the thing the sentence is about. In O pedido será analisado, the request receives the action. These patterns can create an appropriately neutral tone, but naming the responsible person is better whenever responsibility matters: A equipa financeira analisará o pedido is clearer than a chain of passive forms.

Use nominalisation selectively

A nominalisation turns an action or quality into a noun: analisar becomes análise, and cumprir becomes cumprimento. Formal Portuguese uses these nouns frequently:

  • everyday: Depois de analisarmos os dados, decidimos alterar o plano.
  • more formal: Após a análise dos dados, foi decidida a alteração do plano.

The second sentence is denser and more impersonal. That may suit a report, but it also hides who decided. Good formal style balances precision with readability; it does not automatically replace every verb with a noun.

Common Mistakes

Treating mediante as a direct replacement for every “through” or “by”

  • Wrong: Falámos mediante telefone.
  • Right: Falámos por telefone.
  • Why: Mediante is formal and usually presents a means, procedure or condition, especially in patterns such as mediante pagamento. Ordinary means of communication normally use por.

Omitting required contractions

  • Wrong: Em virtude de a decisão, o prazo mudou.
  • Right: Em virtude da decisão, o prazo mudou.
  • Why: De contracts with the definite article a: de + a = da. Formality does not suspend normal Portuguese grammar.

Using an indicative clause after não obstante

  • Wrong: Não obstante o prazo terminou, aceitámos o pedido.
  • Right: Não obstante o termo do prazo, aceitámos o pedido.
  • Also possible: Embora o prazo tivesse terminado, aceitámos o pedido.
  • Why: Não obstante most naturally introduces a noun phrase here. To introduce a complete clause, embora plus the subjunctive is often clearer.

Translating English “hereby” mechanically

  • Wrong: Eu por este meio concordo in an ordinary professional reply.
  • Right: Confirmo a minha concordância. / Venho por este meio declarar que concordo…
  • Why: Portuguese chooses a formula according to the communicative act. Por este meio is possible, but it should not be inserted into every sentence containing English “hereby.”

Combining excessive formality with unclear responsibility

  • Weak: Procedeu-se à realização da verificação e à subsequente comunicação dos resultados.
  • Clearer: A equipa verificou os dados e comunicou os resultados.
  • Why: Impersonal forms and nominalisations are useful, but stacking them makes prose harder to read and may hide who acted.

Choosing a closing by literal translation

  • Wrong approach: assuming Com os melhores cumprimentos always equals one fixed English closing.
  • Better: choose it for a neutral formal or professional close, then adapt to local organisational practice.
  • Why: Email closings are social conventions. “Yours faithfully,” “Yours sincerely” and “Kind regards” do not map one-to-one onto Portuguese formulas.

Usage Notes

Formal does not always mean legalistic

There is a scale from polished professional language to administrative and legal language. Agradeço o envio do documento is formal enough for many business emails. Venho por este meio solicitar a V. Exa. o envio do supramencionado documento belongs to a much more ceremonial or bureaucratic register. Match the language to the relationship, medium and consequences of the text.

A short email to a known colleague can begin with Bom dia, Ana, and end with Cumprimentos, while still being professional. An application, complaint or official declaration may call for fuller formulas. Consistency matters: an elevated opening followed by slang or unexplained abbreviations creates an uneven tone.

European and Brazilian Portuguese

The core connectors in this article are widely understood, but regional preferences differ. European Portuguese commonly uses Exmo./Exma., Agradecia que…, ficheiro, telemóvel and the spelling receção. Brazilian Portuguese may prefer different address formulas and vocabulary, including arquivo, celular and recepção. Brazilian professional writing also frequently uses Prezado Senhor or Prezada Senhora. Follow the conventions of the country and institution you are addressing rather than mixing regional models at random.

Capital letters and abbreviations

Titles and forms such as Senhor, Doutora, Exmo. and V. Exa. are governed partly by institutional style. Modern correspondence may use fewer capitals than older official writing. If you are writing for an organisation, consult its style guide and reproduce names, titles and abbreviations exactly. Avoid using an academic or professional title unless you know that it is correct.

Beyond the Basics / Advanced Use

At the boundary between formal and administrative language, fixed expressions acquire specialised meanings. Nos termos de invokes a rule or document; para os devidos efeitos signals that a statement is issued for whatever official purposes apply; sem prejuízo de means that one provision does not remove or limit another right or rule. These phrases should be learned as complete units, but legal interpretation should never rest on a learner’s approximate paraphrase.

Formal prose also uses the future and conditional to adjust the strength of statements. O requerente deverá apresentar o documento can express an instruction or obligation, not merely a future event. Seria conveniente rever o procedimento presents a recommendation more cautiously. The conditional may soften a claim—Os resultados indicariam uma tendência—but in academic writing you should use that caution only when the evidence genuinely warrants it.

Finally, rhetorical organisation is part of register. A strong formal paragraph often moves from context to grounds, then to consequence or request:

  1. Na sequência da reunião de 10 de maio,… — context
  2. Tendo em conta os dados apresentados,… — grounds
  3. Solicitamos, por conseguinte, a revisão do calendário. — consequence and request

This structure is more effective than scattering prestigious expressions through an otherwise unorganised message. At C1, aim not only to recognise formal vocabulary but also to control information flow, courtesy and precision.

Practice Tips

  1. Rewrite across registers. Take a direct sentence such as Manda-me o relatório hoje and produce three versions: friendly, professional and official. For example: Podes enviar-me o relatório hoje?Agradecia que me enviasse o relatório ainda hoje. Compare what changes besides vocabulary.
  2. Build phrases, not word lists. Record mediante apresentação de, em conformidade com and no âmbito de with a complete example. This reduces preposition and contraction errors.
  3. Edit for clarity after editing for tone. In a formal email, underline every passive, nominalisation and fixed formula. Keep each one only if it improves precision, courtesy or cohesion. Read the final version aloud to catch sentences that are ceremonious but difficult to follow.
